Who this is about
OhmDesk is job-management software for electrical and trade contractors. A contractor signs up, and their staff use the web app and the phone app to run quotes, jobs, work orders, timesheets and invoices.
If you are an employee using OhmDesk, your employer controls your data. They decide what is recorded, who can see it, and how long it is kept. We store and process it on their behalf. Questions about your own records should go to your employer first — they can change or delete them without us.
What we collect
Account details. Your name, email address, role, and a hashed password. We never store your password in a readable form.
Work records. Customers, sites, quotes, jobs, work orders, materials, notes, and invoices your company enters.
Time and location. When you clock in or out, OhmDesk records the time and — if you have granted location permission — the GPS coordinates and accuracy at that moment. This is so a timesheet can show where a punch happened. We do not track your location at any other time. There is no background tracking, no location history between punches, and no location collected while the app is closed. Denying the permission does not stop you clocking in; the punch is simply recorded without a position.
Photos and files. Photos and documents you choose to attach to a job or work order. We access your photo library only when you pick a file, and only the file you pick.
Safety forms. Hazard assessments you complete and sign.
Push tokens. If you allow notifications, a device token so we can tell you a job was assigned to you.
What we do not do
- We do not sell your data, to anyone, ever.
- We do not use it to advertise to you, and we run no ad networks.
- We do not track you across other apps or websites.
- We do not track location outside of a clock-in or clock-out.
Who can see it
Your company's data is separated from every other company's. Within your company, what you can see depends on your role: technicians see the work assigned to them and their own hours; office and admin staff see the whole company's records, including pay rates and everyone's timesheets.
We use a small number of service providers to run OhmDesk — hosting, database, file storage, email delivery, payment processing, and push notifications. They process data only to provide those services. We do not give your data to anyone else unless the law requires it.
How long we keep it
For as long as your company keeps its account, since job and payroll records are documents a contractor is generally required to retain. When an account closes, we delete or anonymise its data within 90 days, except where we must keep something longer to meet a legal or tax obligation.
Your choices
Location and notification permissions can be turned off at any time in your phone's settings, and the app keeps working without them.
To see, correct, or delete your personal data, ask your employer's OhmDesk administrator — they can do all three. If you cannot reach them, or you are the account owner and want the whole account deleted, contact us at the address below and we will action it.
Security
Traffic is encrypted in transit. Passwords are hashed. Access is restricted to the people who need it to operate the service. No system is perfectly secure, and we will tell affected customers promptly if we become aware of a breach that affects them.
Children
OhmDesk is a workplace tool and is not intended for anyone under 16.
Changes
If we change this policy materially we will update the date above and tell account owners by email before it takes effect.
